How ClearPath handles school data.
Written for the person who has to approve software before a school can buy it. Everything on this page restates, in plain language, what the license terms commit to in contract language. If the two ever disagree, the terms govern.
Your records never come to us.
ClearPath is downloadable desktop software. The records your staff enter are encrypted in the application’s own workspace, on the computer where it is installed, behind a passphrase your school holds. School Systems Lab does not receive them, host them, back them up, or hold any credential that opens them. There is no vendor database of your students, because the design has nowhere to put one.
Activation sends licence data and nothing else.
When your staff activate a copy, the application registers the device with our store so we can count it against your device allowance. Here is the complete list of what that carries:
If our store is unreachable, the product still works. A firewall, an outage, or a district network that blocks our address does not stop software installed on your own machines. And because we receive no personally identifiable information from your education records, we are not acting as a school official under FERPA’s outsourcing exception, and we do not ask you to designate us as one. If that ever changed, it would require a separate signed agreement first, not an edit to the terms.
No scores, no tiers, and no AI on student records.
ClearPath organizes what authorized people enter and verify. It does not assign a tier, score a risk, predict an outcome, determine eligibility or placement, or decide anything about a student on its own. No AI reads a student record, and no analytics or third-party scripts run inside the products.
The same statements are printed inside the evidence packets the products export, so every document your team hands to a review meeting carries the boundary with it.
Tested and documented, with claims kept honest.
Every ClearPath product is run through automated accessibility testing across its screens, at multiple zoom levels, and the results are kept as structured evidence for independent review. We do not claim a WCAG conformance level until an independent evaluation is published; when one is, we will publish it and say what it found. If your procurement needs a conformance claim or a VPAT today, tell us before you buy rather than after.

A clean split of responsibility.
We are responsible for our store, which issues licences and holds device records: patching it, managing its secrets, limiting administrative access, and telling you if something goes wrong with it. You are responsible for the devices you install on, the same way you are for any software your school runs: disk encryption, screen locks, strong passphrases, and where exports are stored once they leave the product.
Two things we say plainly rather than in fine print: exports (CSV, print, PDF, calendar) are not encrypted once they leave the product, and if a vault passphrase is lost the records in that workspace may not be recoverable, because we hold no copy of it.
